SNV is a leading international organization with a mission to drive sustainable development in developing countries. In Vietnam, SNV collaborates with hundreds of partner organizations, small and medium-sized enterprises (SMEs), and local communities across three strategic sectors to create long-term, positive impact.However, as its operations continued to expand, SNV faced several major challenges in operational management:
    • Fragmented and vulnerable data: Partner and customer information was scattered across emails, Excel files, and unstructured manual records. This made it difficult to locate accurate contact information and created a high risk of data loss when employees left.
    • Difficulty tracking project progress: The organization struggled to gain clear visibility into the actual status of project opportunities. The lack of standardized processes for approval and task assignment led to delays and inefficient use of management resources.
    • Weak access control system: Despite having a multi-level organizational structure ranging from Country Director to Sector Leaders, SNV lacked a clear and structured permission management system. Sensitive project data was not adequately protected.
    • Time-consuming manual reporting: Data had to be consolidated manually from multiple sources, which was both time-intensive and prone to errors. This prevented leadership from having a real-time, comprehensive view of organizational performance.
WBL Solution
To address these challenges, WBL analyzed SNV’s requirements and directly implemented the Zoho CRM Professional solution. The key implementation components included:
    • Structured data centralization: WBL designed and configured custom modules such as Contacts, Accounts, Deals, and Projects with 155 data fields to organize partner information in a structured and business-aligned manner for SNV.
    • Automated operational workflows: The system automatically assigns new project leads to the appropriate person based on sector (Energy, Water) immediately. It also sends automated welcome emails to new partners and reminders for birthdays and anniversaries to maintain relationships.
    • Professional mass communication management: WBL implemented the Mass Email feature directly within CRM, enabling SNV to send bulk notifications and thank-you emails while ensuring recipient privacy and tracking email open rates in real time.
    • Approval processes & access control: WBL configured 6 automated business processes, including partner approval workflows and account handover processes when employees leave. The system also applies strict role-based access control (Roles & Profiles) to ensure each department can only access its own data.
Results Delivered
The implementation of Zoho CRM by WBL has delivered significant, measurable improvements to SNV’s operations:
    • Optimized time and productivity: Task assignment time has been reduced by up to 99%, from 24–48 hours of manual processing to under 5 minutes through automation. Contact information search time has also decreased by 95%, taking less than 1 minute.
    • Complete data protection: The risk of data loss due to employee turnover has been fully eliminated (reduced to 0%) through automated flagging and account transfer mechanisms. Duplicate data has also been reduced from 15–20% to 0% through strict approval processes.
    • Data-driven management: Weekly reporting time has been reduced by 92%, from 4–8 hours to just 15 minutes thanks to automated reporting. SNV leadership now has access to real-time dashboards to easily monitor performance, forecast revenue, and evaluate project status at any time.
    • Successful adoption and high compliance: 100% of employees, from Country Director to project support teams, have been fully trained to use the system. The system adoption rate reached over 95% within just the first 2 weeks of go-live.
